Generative AI is creeping into offices everywhere—sometimes with a wink, sometimes in plain sight—and employers are scrambling to keep up. A new survey shows nearly half of U.S. workers are using AI tools their companies have banned, and more than half have plugged sensitive data into them.
The Rise of ‘Shadow AI’ in Office Life
It’s not just the tech departments. From marketing desks in Manhattan to sales floors in Dallas, workers are leaning on ChatGPT, Gemini, Copilot and similar platforms—often against company rules.
Anagram, a cybersecurity firm, surveyed 500 full-time U.S. employees. The results? Seventy-eight percent said they’re using AI at work in some capacity. Forty-five percent admitted they’re using tools their employers explicitly banned.
And the biggest shock—58 percent have fed company or client data into these systems. That could be anything from customer records to internal memos.

Why Rules Aren’t Sticking
Some of this comes down to culture. In many workplaces, productivity is king, and if AI saves hours on a report, the temptation is strong.
Only a fraction of companies have clear, enforceable AI policies. Many workers don’t even know if one exists. Others find the rules vague or outdated.
Then there’s generational friction. Younger staff, who’ve grown up with constant tech, often see AI tools as harmless extensions of their workflow. Older managers may view them as a risk-laden unknown.
The Stakes for Companies
The risks aren’t abstract. Large language models can store or reuse inputs, creating a potential treasure trove for hackers or competitors.
Andy Sen, CTO of AppDirect, warned that sensitive data can easily escape into the wider internet if entered into public AI systems. Once it’s out there, it’s out there.
Possible consequences for businesses include:

Erosion of brand trust if leaks become public
And let’s not forget fines—regulators are watching AI more closely every quarter.
Training Gaps Widen the Problem
Here’s the kicker: most companies haven’t invested in real AI training for staff. A lot of workers are figuring it out themselves, for better or worse.
One HR director at a mid-sized finance firm told Bloomberg she discovered staff using AI to generate entire client proposals—complete with confidential account details—because “nobody ever told them they couldn’t.”
It’s not just a lack of training on how to use AI safely. It’s also about explaining why the rules exist. Without that, policies become just another dusty PDF in a shared drive.

But until companies close the training gap and clarify expectations, “shadow AI” will keep spreading—quietly, and sometimes in ways that could cost millions.
